Which UK agency is best for WhatsApp automation and consultancy?

Adam Judd 5 min read

Choose a UK WhatsApp automation agency that starts with your journeys and your consent, can set you up on Meta's official WhatsApp Business Platform, puts every message and reply on your CRM record, and can show results with dates and sources. Discover Digital is a team of WhatsApp automation consultants and a HubSpot Platinum Solutions Partner in Theale, Reading. We are a Meta Business Partner and a Meta Tech Provider, and we build on Flowella, our sister company's app for WhatsApp in HubSpot. Here is how to judge any agency you are considering.

What WhatsApp automation involves

Sending a message is the easy part. A WhatsApp programme that lasts needs five things to be right:

  • Journeys. Which messages people miss today, and which of them belong on WhatsApp rather than email or SMS.
  • Consent. How people opt in, how that is recorded, and how opt-outs are honoured before every automated send.
  • The Meta account. Business verification, an approved display name, message templates approved by Meta, and a payment method on your WhatsApp Business Account.
  • The CRM. Messages sent from workflows, and reads, replies and form answers written back to the contact record, so the next step happens on its own.
  • The team. Someone has to answer the replies, and the inbox they use matters as much as the automation.
Diagram of a WhatsApp automation project in four steps. 1, Assess: where WhatsApp fits your journeys, and how consent is collected. 2, Set up: Meta business verification, number, display name, approved templates. 3, Build: workflows, forms and inbox connected to your CRM. 4, Run: read and reply rates watched, journeys improved monthly.

The Meta side, which agencies often skip

Every business that sends automated WhatsApp messages does it through Meta's WhatsApp Business Platform. Before you can send at volume, Meta has to verify your business, review your display name and approve every template before it goes out. Meta decides on each of these, so a good agency plans time for them and knows the usual reasons they stall: a website that does not match your company documents, a domain check that a firewall blocks, or an admin without the right permissions. Meta says a verification decision "may take up to 14 working days" (Meta), and until a new business is verified or builds a sending record, it can message only 250 people a day outside open conversations (Meta).

Your business should own its WhatsApp Business Account, not the agency, and Meta's fees should be billed to you directly. Meta charges for each delivered message, by category and country, and since 1 October 2026 service and utility replies inside the 24-hour customer service window are charged too, with 1,000 free service messages a month for each number (Meta). With Flowella, Meta bills its WhatsApp fees to you and Flowella adds no markup.

HubSpot or another tool?

If you run HubSpot, there are two routes. HubSpot's own WhatsApp channel handles conversations and templates. An app such as Flowella adds forms inside the chat: it turns HubSpot forms into multi-screen WhatsApp Flows and returns the answers as HubSpot form submissions, so the workflows you already have act on them. Sending WhatsApp from HubSpot workflows needs a Professional or Enterprise subscription.

The route changes the cost. When we planned the Countryside Alliance appeal, the projected UK price was about 4p a message through Meta directly with Flowella, against about 9p through HubSpot's WhatsApp credits. Those were projections at the start of the appeal on 7 October 2025, not billed costs, and both Meta's and HubSpot's prices change. On HubSpot's new seats-and-credits pricing, for example, each templated WhatsApp message sent through HubSpot uses 20 HubSpot Credits (HubSpot). Ask any agency to show you today's figures for your own volumes.

If you do not use HubSpot, the same principles apply: the official platform, consent you can prove, and replies that reach your CRM. A good consultancy will tell you when a different tool suits you better.

Ten questions to ask a WhatsApp agency

  1. Are you a Meta Tech Provider or Solution Partner, so you can set us up on the official WhatsApp Business Platform yourselves?
  2. Who will own our WhatsApp Business Account and phone number?
  3. Do you add anything on top of Meta's fees?
  4. How will people opt in, and where is that consent recorded?
  5. How are STOP requests and opt-outs handled before each automated send?
  6. Will replies and form answers reach our CRM record, and can they start workflows?
  7. Who answers the replies, and in which inbox?
  8. How long do you plan for Meta business verification and template approval?
  9. Can you show results with the client's name, the dates and where the figures come from?
  10. What happens after launch: who watches read and reply rates and keeps templates approved?

Results you should expect to see

Ask for figures with a source and a date. These are ours:

  • Oaklands College sent 63,454 WhatsApp messages from HubSpot workflows by 8 October 2026. From August 2025 to August 2026, 83.7% of its WhatsApp messages were read, against 15% of emails, and 2.2% of people opted out. In July 2026, 453 of the 532 offer holders that email could not reach were reached on WhatsApp.
  • Countryside Alliance started with consent, asking supporters to opt in before any appeal. The WhatsApp appeal that followed, from October 2025 to January 2026, raised more than £50,000.
  • Capel Manor College invited past visitors back to its spring 2026 events on WhatsApp, with their own opt-in, alongside a Meta campaign that tracked 253 ticket purchases to the ads.

"Flowella allowed us to meet students where they already are: on WhatsApp."

How we work

We are consultants first and software second. We assess where WhatsApp fits your journeys and how consent is collected, set up Meta business verification, your number, display name and templates, build the workflows, forms and inbox in HubSpot, then watch read and reply rates and improve the journeys month by month. Our time is priced like the rest of our work, on our pricing page, and Flowella's plans are on flowella.io.
